Privacy Policy
This policy explains how Jaded Tattoo Studios collects, uses, stores and protects personal information when you contact us, book or receive a service, complete a consent form, or interact with our communications.
1. Who we are
Jaded Tattoo Studios is the data controller for the personal information described in this policy.
Address: 29 Commercial St, Leeds, LS1 6HH
Email: [email protected]
2. Information we collect
Depending on your interaction with us, we may collect:
- Your name, date of birth, contact details and emergency contact details.
- Appointment, enquiry, booking, payment and tattoo details, including artist or student, design, placement and service history.
- Confirmation that suitable photographic identification was provided. We do not normally retain a copy unless there is a specific lawful need and you are informed.
- Health, medication, allergy, skin, pregnancy, breastfeeding and other safety information supplied through the consent process.
- Your consent choices, signature, date and records of communications.
- Photographs or video where required for a service record or where you separately agree to promotional use.
- How you heard about us, including whether an enquiry came from Studio marketing, an artist, search, social media, referral or another source.
- Technical information generated when you use our online forms or pages, such as device, browser, IP address and essential cookie information.
3. Why we use your information
We use personal information to:
- Respond to enquiries, manage bookings and provide tattoo services.
- Assess suitability, protect health and safety, obtain informed consent and give aftercare support.
- Allocate clients to artists, students or guest artists and maintain service records.
- Process payments, administer booking fees and keep financial records.
- Send appointment, consent, aftercare and service-related email or text messages.
- Handle questions, complaints, insurance matters and legal claims.
- Measure where enquiries originate and understand Studio marketing performance.
- Protect our clients, staff, systems and business against misuse or fraud.
- Send marketing only where permitted by law and in line with your communication preferences.
4. Our lawful bases
We rely on one or more lawful bases under UK data protection law:
- Contract: where processing is needed to take steps at your request, manage a booking or provide the agreed service.
- Legal obligation: where records are required for tax, licensing, consumer, health and safety or other legal duties.
- Legitimate interests: for proportionate business administration, client service, record keeping, security, complaint handling and performance reporting, where your rights do not override those interests.
- Consent: where you make an optional choice, including identifiable promotional photography or certain marketing communications. You may withdraw consent for future use at any time.
Health information is special category data. We use it only where necessary to assess whether a service can be provided safely, support informed consent, maintain appropriate treatment records, or establish, exercise or defend legal claims. Where required, we rely on your explicit consent. You may withdraw consent, but we may still need to retain an existing record where another lawful duty or legal reason applies.
5. Who receives your information
Information is shared only where reasonably necessary and subject to suitable confidentiality or data protection arrangements. Recipients may include:
- The Jaded artist, student or guest artist involved in your enquiry or service.
- GoHighLevel or LeadConnector, which hosts our forms, customer records, email and text automation.
- Payment, email, messaging, website, IT, cloud storage and security providers.
- Professional advisers, insurers, regulators, licensing authorities, courts or law enforcement where required or justified.
We do not sell your personal information.
6. International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we require an approved legal safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to standard contractual clauses, or another lawful transfer mechanism.
7. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose collected. We consider health and safety needs, the nature of the tattoo service, insurance requirements, tax and licensing duties, complaint and limitation periods, consent records and the need to establish or defend legal claims. When information is no longer required, it is securely deleted, anonymised or destroyed.
8. Security
We use reasonable organisational and technical measures to protect information against accidental loss, unauthorised access, alteration or disclosure. Access is limited to people who need the information for their work. No online system is completely secure, but we review the services and controls used to manage Studio records.
9. Your rights
Depending on the circumstances, you may have the right to:
- Ask for access to your personal information.
- Ask us to correct inaccurate or incomplete information.
- Ask for deletion or restriction of processing.
- Object to processing based on legitimate interests or to direct marketing.
- Receive certain information in a portable format.
- Withdraw consent for future processing where consent is the lawful basis.
- Complain to the Information Commissioner's Office.
Some rights are subject to legal exceptions. We may need to verify your identity before responding. To exercise a right, email [email protected].
10. Photographs and promotional consent
Choosing not to allow promotional photography will not affect your treatment. If you withdraw promotional consent, we will stop future use where reasonably possible. Withdrawal does not make earlier lawful use unlawful and may not enable us to recall material already printed, shared or published.
11. Email and text communications
We may send service messages that are necessary for an enquiry, booking, consent, aftercare or safety. Marketing messages are handled separately. You can opt out of marketing using the link or instructions in the message, or by contacting us. Opting out of marketing does not stop essential service communications.
12. Cookies and online forms
Our hosted forms and pages may use essential cookies or similar technology to function securely. Analytics or advertising technology will be used only where enabled and where any legally required choice has been offered. Third-party platforms may also process technical data under their own privacy terms.
13. Automated decisions
We may use automation to send confirmations, reminders, aftercare information and to organise records. We do not make decisions with legal or similarly significant effects about you solely by automated means.
14. Complaints and the ICO
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
15. Changes to this policy
We may update this policy to reflect changes in our services, providers or legal duties. The latest version will be available through our consent form and will show its update date.
